Import members from a CSV

Use the importer when your members already live in a spreadsheet or another system. Your browser reads the file and shows you every row before anything is sent. You can import up to 500 rows at a time.

Prepare your file

Only an email column is required. Dyno recognises these columns:

• email (or email address, e-mail)
• forename (or first name) and surname (or last name)
• phone (or mobile, telephone)
• date of birth (or dob, birthday)
• guardian email (or parent email): child rows only
• relationship: the parent's relationship to the child, child rows only
• comp (or free, no charge): put yes, y, true or 1 to grant that row's membership free

Any other column is ignored, and the import screen tells you which ones. There is no membership column: you choose memberships row by row in the preview.

Click Download template on the import screen for a file with the right headers and example rows.

Adding children

A child goes on their own row with:

• a blank email
• their parent's email in guardian email
• their first name, last name and date of birth

The parent must also have their own row in the same file, using that email. The parent does not need a membership of their own.

Two children under the same parent with the same name and date of birth are treated as one child. If they are twins, give them a distinguishing name so both are added.

Import your members

1. Open Members and click Invite members.
2. Choose Import from CSV.
3. Choose your CSV file, or paste its contents into the box.
4. Check the summary. It shows how many rows will be invited, how many will be skipped for having no email, and how each column was read. Click Continue to preview.
5. On Review and send invites, choose a membership for each row. To give every row the same one, use Set all rows to. Rows left on No membership still get an invite, just without a membership.
6. To give everyone in this import their membership free, tick Do not charge members (grant the membership free).
7. If these members are moving from a previous provider and still paying it until their Direct Debit transfers, tick the box that says so. It appears when the import grants anything free.
8. Click Send invites. A large file goes up in batches, and the button shows which batch is sending.
9. When you see Import complete, click Done.

Rows that will be granted their membership free are marked Free in the preview. Children in an import are always granted their membership free.

Members who are moving over show as Awaiting DD transfer rather than Comp. Dyno collects nothing from them, and the dashboard warns anyone who tries to start billing them by hand, so nobody pays twice.

What happens next

• Everyone in the file is sent an invite email. People who already have a Dyno account also get a notification in the app.
• Invitees appear on the Invited tab of Members until they accept. From there you can Resend or Cancel each invite.
• Members granted a free membership have it active as soon as they join.
• Members offered a paid membership see the offer in the app after they sign in, and pay there. Until they pay, they appear under No membership.
• The Import complete summary lists any rows that were skipped, and any duplicate emails that were merged.

Children and parent consent

Importing a child does not create their record. A child's record is only created once their parent registers, opens the Dyno app and confirms the child is theirs.

The app shows the parent each child your club added. For each one they tap This is my child or Something's wrong. If something is wrong, they choose Not my child or Details are wrong. A parent can also tap Not now: nothing is created or disputed, and the children stay waiting for them.

Track families in the dashboard

Open Members and choose the Families tab. Each parent is listed with their children underneath. A family stays here until all of its children have been created.

• Not registered, next to the parent: the parent has not registered yet. Chase them, or resend their invite from the Invited tab.
• Awaiting parent: the parent has not confirmed this child yet. Remind them to open the app.
• Active: the child's record is created and their membership is active.
• Disputed · not their child: the parent says this is not their child. Remove or correct the record.
• Disputed · wrong details: the parent says the details are wrong. Fix the details and re-import.

Once a child is created, they appear in your members list with a Managed badge. Their parent books and pays on their behalf.
