Create an event
Set up a one-off event with a capacity, who can book, member and non-member prices, and invite-only access.
An event is anything members book a place on: a class, a tournament, a game, a social or a workshop. This guide covers a one-off event on a single date. For a class that repeats every week, see Create a recurring event.
Create the event
- Open Events and click New Event.
- Under Basic Information, enter an Event Title and a Description. A Tagline is optional.
- Under Media, add an image if you want one.
- Under Schedule, leave One-off event selected. Pick the Start Time and End Time.
- Under Venue, pick one of your saved locations, or click Add new location to save a new one.
- In the Details panel, set the Capacity. This is the most people who can book.
- Set a Cancellation cutoff (hours) if you want one. See Cancellations below.
- Optionally choose an Event Type, a Colour for the timetable and app, Categories and Event Leaders.
- Click Create Event.
If your club has the Staff scheduling add-on, a switch at the top of the page offers Event and Personal session (1-2-1). Leave it on Event.
Choose who can book
Use the Access panel.
- Membership Access: select the memberships that can book. Anyone holding one of them can book. If you select none, the event has no membership restriction.
- Group Access: only shown if your club has groups. Select groups and only their members can book. The event also stops appearing on public listings.
- Allowed Passes: select the passes that can be used to book. If you have also selected memberships, only the passes you select here get someone in.
A member with a paused membership cannot book an event that requires that membership.
Make an event invite only
Use this for gradings and other sessions only certain people should see.
- In Membership Access, click the Invite only card.
- Choose the people to invite from the list that appears.
- Click Create Event.
What happens next:
- The event is hidden from everyone except the people you invite and your team.
- Each invitee gets a push notification saying they have been invited. For a child, it goes to their parent or guardian.
- Invitees book the event themselves in the Dyno app, like any other event.
Set prices
Leave Event Pricing empty and the event is free to book. To charge:
- Under Event Pricing, click + Add price tier.
- Choose who the price is for: Everyone, All members, Non-members, or a specific membership (shown as Members: followed by its name).
- Enter the price. Enter 0.00 to make it free for that group, for example free for members.
- Add another tier for each group you want to price differently.
Each group can have only one price. Members pay the tier that matches them and non-members pay the Non-members tier.
Members pay by card in the Dyno app when they book. The payment is taken on your club's own Stripe account: your club is the seller, and the money goes to your club, not to Dyno. You need Stripe connected before members can pay. See Connect Stripe.
Cancellations
The Cancellation cutoff (hours) decides how late a member can cancel.
- 0 or blank: members can cancel any time until the event starts.
- Above 0: members cannot cancel within that many hours of the start. Their place stays booked.
When a member cancels a paid booking before the cutoff, they get a full refund to their card automatically. If anyone is on the waitlist, the place goes to them. See How waitlists work.
After you create it
Open the event from Events to see its attendees, waitlist and prices. From the event page you can also:
- Click Edit Event to change anything.
- Click Notify Members to send chosen members a notification about the event. This does not change who can book.
- Click Export Attendee List to download the attendee list.
- Click Cancel This Event to cancel it. Everyone booked and everyone on the waitlist is notified, and paid bookings are refunded. This cannot be undone.
