How waitlists work

Every event has a waitlist. You do not need to switch it on. When an event reaches its capacity, members who try to book are offered a place on the waitlist instead. When a place opens up, Dyno books the next person in automatically.

What members see

1. On the club page in the Dyno app, a full event shows Join waitlist instead of the number of spots left.
2. A member who tries to book a full event sees This event is full and a Join waitlist button.
3. Once they join, the app tells them their position, for example "You're number 3 in the queue".
4. They can leave at any time from the event with Leave waitlist.

A member can only join the waitlist for an event they would be allowed to book. If an event needs a membership, a group or an invite, the same rules apply to the waitlist.

How places are handed out

The waitlist is first come, first served, in the order people joined. A place opens up when:

• a member cancels their booking before the cancellation cutoff, or
• someone starts to pay for a place but does not finish, and their hold is released.

Dyno then books the first person on the waitlist who can still take the place. Members cannot cancel inside the cutoff, so places do not free up that way once it has passed.

Someone is skipped, and stays on the waitlist, if:

• they can no longer book the event, for example their membership has been paused, or
• the event has prices and no free (0.00) price applies to them. Moving someone off the waitlist never takes a payment, so on a paid event only people with a free price are booked automatically.

What the promoted member gets

• A push notification saying a place has opened and they are in.
• The usual booking confirmation email, with their check-in code.

For a child, both go to their parent or guardian.

See the waitlist

1. Open Events and click the event.
2. Scroll to the Waitlist panel.

It shows each person's position, name and when they joined. The list is read-only: the order is set by when people joined. If nobody is waiting, it says so.

If you cancel an event, everyone on its waitlist is notified.

Courses

A course has its own waiting list, and you cannot join the waitlist for a single course session. When a course place opens, the next person gets a notification that a place is available. They are not enrolled automatically: they need to enrol to claim it. People carried over from the previous term are offered places first.
